The Wellness Centre (Castle Quay) Privacy Notice

This privacy notice sets out how the business registered as Chirotech Ltd and trading as ‘The Wellness Centre (Castle Quay)’ and the ‘Jersey Chiropractic Centre’ uses and protects any information that you may provide us with. We are based at Millais House, Rue de L’Etau, St. Helier, Jersey (JE2 3WF). For the purposes of processing your personal data we are defined as a ‘Controller’.
We are committed to ensuring that your privacy is protected. Should we ask you to provide certain information by which you can be identified when using our services, then you can be assured that it will only be used in accordance with this Privacy Notice.

Chirotech Ltd may change this privacy notice from time to time by updating this page. You should check this page from time to time to ensure that you are happy with any changes. This notice is effective from May 25th, 2018.
The Personal Data We Process and What We Do With It
When you supply your personal details to CHIROTECH LTD, they are stored and processed for 4 reasons (in accordance with the Data Protection Act 2018, which includes the General Data Protection Regulation):

  1. We need to collect personal information about your health in order to diagnose conditions and provide you with the best possible treatment. Your requesting treatment and our agreement to provide that care constitutes a contract.
  2. We have a ‘Legitimate Interest’ in collecting that information, as without it we would be unable to do our job effectively and safely.
  3. It is important that we can contact you in order to confirm your appointments with us and/or to update you on matters related to your medical & therapeutic care and/or financial records. This constitutes your ‘Legitimate Interest’.
  4. Provided we have your consent, we may occasionally send you general health information in the form of articles, advice or newsletters. You may opt out from receiving such communications services at any time by emailing (contact@the-wellness-centre.com) or by clicking the ‘unsubscribe’ link in the email.

We record and use the following categories of personal data: name, address, date of birth, phone numbers, email address, health information (including medical history), diagnosis and treatment data. Our lawful basis of processing this data is one of contract. In addition, we will only examine or treat you with your explicit consent.
Your records are stored on paper, in locked filing cabinets and on our office computers. These are password-protected, backed up regularly, and the office(s) are locked out of office hours and the centre is CCTV monitored 24/7.
We will never share your data with anyone who does not need access for processing purposes without your written consent. Only the following people/agencies will have routine access to your data:

  • Your practitioner(s)/therapist(s) in order that they can provide you with treatment.
  • Our Reception staff, as they organise our practitioners’ / therapists’ diaries, and coordinate appointments and reminders.
  • Other Administrative staff e.g. (Accountant). Administrative staff will not have access to your medical notes, just your essential contact details.
  • We also use Perfect Patients Webmail and Website platform for email and newsletter purposes, so your name and email address may be saved on their server. More Details about how Perfect Patients uses your information here.

From time to time, we may have to employ IT Consultants to perform tasks which might give them access to your personal data (but not your medical notes). However, they will be fully aware that they must treat that information as confidential, and where necessary sign a non-disclosure agreement.
We do not use any system which uses automated decision making or profiling in respect of your personal data.
Retaining Your Personal Data
We have a legal obligation to retain your records for 8 years after your most recent appointment (or age 25, if this is longer). After this period your records may be deleted as per company policy.
Your Rights
You have the right to request a copy of your data at any time. If you wish us to stop storing or using your data, provided the legal minimum period has elapsed, you can also ask us to erase your records. Any such requests must be made in writing to the ‘Data Controller’ of the company (please see below). Please provide the following information: your name, address, telephone number, email address and details of the information you require a copy of or would like deleted.
If you believe any of the personal data we hold on you is inaccurate or incomplete, please contact the centre directly and any necessary corrections to your date will be made promptly.
Data Breaches
Should your personal data that we control be lost, stolen or otherwise breached, where this constitutes a high risk to your rights and freedoms, we will contact you without delay. We will give you the contact details of the ‘Data Protection Officer’ who is dealing with the breach, explain to you the nature of the breach, and the steps we are taking to deal with it.
Should You Wish To Complain
If you feel that we are mishandling your personal data in some way, you have the right to complain. Complaints need to be sent to the ‘Data Controller’ of the company:
